The Alliance for Secure AI is hiring an Office Manager / Executive Assistant to support our executive and operations team to ensure smooth day-to-day operations at our Washington, DC office. This person will play a critical role in managing administrative functions, supporting the CEO, and coordinating scheduling, events, the office, and logistics across the organization.

We are looking for a highly organized, trustworthy, detail-oriented, and proactive professional who thrives in a fast-paced environment and can manage multiple priorities with calm and precision. The ideal candidate will have a strong track record of supporting senior executives, managing office operations, and building efficient systems to keep our team on track.

Position Overview

The Office Manager / Executive Assistant will report to the Operations Director and work closely with the CEO to manage scheduling, internal and external communications, and operational logistics. This person will be responsible for maintaining an efficient, well-organized office environment and ensuring that daily operations run smoothly.

The successful candidate will have 5–7 years of experience in office management, executive assistance, and operations, and will be based in Washington, DC.

Key Responsibilities

  • Serve as primary administrative support for the CEO, including managing calendars, scheduling meetings, and organizing travel

     

  • Coordinate communications on behalf of the CEO, including email and meeting preparation

     

  • Manage day-to-day office operations, including ordering supplies, handling correspondence, and maintaining vendor relationships

     

  • Plan and coordinate organizational events, meetings, and retreats
  • Plan and coordinate company travel

     

  • Maintain organizational systems for tracking tasks, priorities, and internal workflows

     

  • Assist with onboarding and coordination of staff and consultants

     

  • Serve as liaison with building management and external service providers

     

  • Support the Operations Director with HR, finance, and compliance tasks as needed

     

  • Anticipate needs, solve problems proactively, and ensure follow-through on key priorities

     

  • Uphold discretion and professionalism when handling confidential information

     

Qualifications

  • 5–7 years of professional experience as an office manager, executive assistant, or operations manager

     

  • Proven ability to manage complex scheduling and logistics for senior executives

     

  • Exceptional attention to detail and organizational skills

     

  • Strong written and verbal communication abilities

     

  • Calm, professional, and solutions-oriented under pressure

     

  • Proficiency with productivity and collaboration tools (e.g., Google Workspace, Zoom, project management software)

     

  • Experience managing vendors, contracts, and office operations

     

  • Ability to work independently and as part of a collaborative team
  • Ability to take excellent notes at a fast pace

     

  • Bachelor’s degree preferred

     

Desired Skills and Experience

  • Prior experience supporting nonprofit or mission-driven organizations

     

  • Experience in a start-up or high-growth environment
